Owning from four thousand miles away: what property management in Portugal really involves

An unoccupied Portuguese house does not sit still. What actually needs doing month to month, what good local management includes, and the questions to ask before signing a management contract.

The single most common call we get from a new American owner is some version of: I arrive on Thursday, and I don't know if the water is on. The second most common arrives in February, from someone whose neighbour has messaged a photo of a stain spreading across a bedroom ceiling.

Empty houses in Portugal are not neutral. Winter humidity on the coast is high and Portuguese construction is frequently uninsulated, so a closed-up house grows mould in rooms that were spotless in September. Salt corrodes hinges, brackets, railings and outdoor units. Summer sun destroys exterior timber and shade sails. Pool chemistry drifts within days. Garden irrigation fails silently in July, and you find out through a dead hedge in August.

What management should actually cover

  • Scheduled inspections with dated photographs, not a text saying all fine.
  • Ventilation and dehumidifier routines through the wet months.
  • Pool and garden contractor oversight — someone checking the contractor, not just paying them.
  • Utility, IMI, condomínio and insurance administration, with a euro account that funds it.
  • Key holding, alarm response, and being the human who meets the plumber.
  • Arrival preparation: heating or cooling on, water and gas live, beds made, fridge stocked.
  • Works coordination — quotes in Portuguese, translated, compared and supervised.

Care versus rental management

These get conflated and shouldn't be. Property care protects an asset you use yourself: fixed fee, predictable, focused on condition. Rental management operates a business: listings, pricing, guest communication, turnovers, linen, licensing compliance, tourist tax, reporting. Short-term rental in Portugal requires the correct Alojamento Local registration and, in constrained municipalities, that is not a formality. Long-let is quieter and better suited to owners who want an income line rather than an operation.

Questions to ask any manager

  • How far away are you, and who physically holds the keys?
  • What is in the fixed fee, and what is billed separately?
  • What is the spend threshold below which you act without asking me?
  • Do you take a margin on contractor invoices? Say the number.
  • Show me a real inspection report from another owner, redacted.
  • What happened the last time a pipe burst in a house you manage?
Good management is unglamorous. It is a person twenty minutes away who noticed the stain in November, before it became a ceiling in February.
